This process is used to add new medicines or new batches to your store's inventory.

  1. After logging in, you will land on your main dashboard (e.g., WC Store In-Charge, MSD Section, or Drug Delivery Counter).
  2. Under the "Services" section, locate and click the "Stock Entry (Single Stock)" icon.
  3. The system will display the "Drug Inventory List," showing all medicines currently in stock.
  4. Click the "ADD" button, usually located in the top-right corner, to open the stock entry form.
  5. Fill in all the details for the item. Fields marked with a red asterisk ($\*$) are mandatory.
  6. To add multiple items: After filling in the details for one item, click the blue "Add" button. The item will move to a temporary table at the bottom of the form. Clear the fields, enter the next item's details, and click "Add" again.
  7. Once all items are in the temporary table, click the green "Save" button to finalize the entry.
  8. A confirmation message, "Data Saved Successfully!!!", will appear.

Receiving Stock from a Third Party

  5. Click the "+ Add to Cart" button to add the item to the grid.
  6. Repeat this for all items on the invoice.
  7. Review the grid and click "Final Save". The quantity will be added to your store's active stock.

Core Function 2: Stock Movement (Indents, Issues & Transfers)

This section covers how stock is requested, approved, and moved between different stores or counters.

A. Indent Generation (Requesting Stock)

When a counter or store needs to request drugs from an upper store, they must generate an indent.

  1. Click on "Indent Generation" from your dashboard. This page shows a list of previously requested drugs and their status.
  2. To create a new request, click the "Generate" button.
  3. Fill in the required details, click "Go," select the necessary drugs, and click "Save". The indent will be raised successfully.

B. Issue Desk (Fulfilling an Indent)

Once an indent is raised (e.g., by a Counter) and approved, it proceeds to the "Issue Desk" of the supplying store (e.g., Main Store or MSD Section) for fulfillment.

  1. Click on "Issue Desk" to see the list of raised indents.
  2. Find the request and click "Issue" in the "Action" column.
  3. On the Drug Details page, specify the issued quantity, select the batch, and enter any other required details.
  4. Click "Save" to complete the issuance process.

C. Issue Acknowledge Desk (Confirming Receipt)

This is a critical step. After drugs are issued from one store, the receiving store must formally acknowledge them.

  1. The receiving Store In-Charge clicks on "Issue Acknowledge Desk".
  2. The screen displays a list of all incoming requests, often with a status of "Acknowledged Pending".
  3. The user can then review each item and "accept," "hold," or "reject" the drugs. A pop-up allows for entering remarks for any rejected or held items.

D. Direct Transfer (Store-to-Store Transfer)

This module allows a Store In-Charge to transfer drug stock directly to another store (an Indenting Store).

  1. From the dashboard, click "Direct Transfer".
  2. Select your "Source Store" and the "Indenting Store" (the receiving store).
  3. Use the "Select Item" field to add drugs to the transfer list.
  4. Check the "Avl Qty" (Available Quantity) and enter the "Transfer Qty".
  5. Fill in the mandatory "Remarks" field and click "Save".
  6. The transfer status will show as "Ack In-Process".

Note: The receiving (Indenting) store's stock levels will *not* be updated until they formally acknowledge the material in their system.

Core Function 3: Role-Specific Issue Desks

While the general "Issue Desk" is common, some roles have specialized issue modules.

Drug Dispense to Patient (Drug Delivery Counter)

This is the final step where medicine reaches the beneficiary.

  1. From the Drug Delivery Counter dashboard, click "Drug Dispense to Patient" (or "Issue to Patient").
  2. Enter the "Ben $ID^{*}$" (Beneficiary ID) and click "Go".
  3. The system will display the Beneficiary Details and their Prescription Details.
  4. Select the drug, batch, and quantity to be issued.
  5. In the "Received By" field, select "Self" or "Others." If "Others," the Mobile No. is mandatory.
  6. Click the "Issue" button.
  7. A pop-up will confirm "Drugs Issued Successfully" and display a "Patient Issued Details" receipt.

Authorized Local Chemist (ALC Issue Desk)

This module is for Authorized Local Chemists (ALCs) to process indents.

  1. Log in and click "ALC Issue Desk".
  2. Click on "Order Number" and select the relevant order for a "Serving" or "Pensioner" beneficiary.
  3. The "Patient Wise Indent Detail(s)" list will load. Select a beneficiary by clicking the small dot next to their name.
  4. Scroll down to "Batch Detail(s)" and fill in the batch information for the selected drug.
  5. Click the "Draft" button. This saves the item to a cart section, allowing you to process the next beneficiary on the list.
  6. You can edit or delete items from the cart using the "Action" column.
  7. Once all indented medicines are ready for dispatch and verified, click "Final Issue" to submit the indent.
  8. To print a list, use the "View" button on the main page , select a date range, and click "Go". You can then click "Print" or download an Excel file.
